OFFICE ADMINISTRATOR
Key responsibilities:
- Maintains office activities by organizing office operations and procedures;
- Prepares and assists in the processing and archiving of incoming / outgoing correspondence. Collects, reviews, processes and archives documents, contracts and other forms in accordance with established procedures and programs for office administration. Taking care for the post/ courier services;
- Coordinating the meeting rooms booking schedule;
- Supervising the “Company Clean desks policy” for the office;
- Coordinating and supervising the agenda of the office drivers;
- Handling ordering, storing and distribution of office stationery, sanitary and kitchen supplies for the office. Maintains availability and orders office supplies if necessary.
- Coordinating office related issues with regards to facility management (rent, service charge, power and water supply and others), contact to office owner, etc.
- Responsible for the supervising of cleaning staff, assigning additional cleaning whenever needed. Responsible for cleanness of the office during working hours (coffee machine, dishwasher, fridge, sink).
- Preparing budget plans and forecasts for office activities, i.e.office related costs, stationary materials, others;
- Responsible for the preparation of visas and working visits, hotel and flight reservations related to business trips;
- Performs translations and organizes the company documents translation needs by external subcontractors.
- Directly involved in the coordination of the activities for preparation of various reports to the Managing Director;
- Assists in the preparation of various presentations and materials for the company, assigned from direct superior.
Requirements:
- University degree;
- Excellent command of English - both written and spoken;
- Excellent computer literacy – MS Office applications;
- Good communication skills;
- Highly responsible individual able to meet strict deadlines and work under pressure;
- Attention to detail, accuracy and problem-solving skills;

- Organizational, multitasking and decision-making skills;
